Prevention: Have a substitute faculty list ready. Know which faculty can expand their interview load if needed. Build buffer slots into the schedule that can absorb cancellations.

Availability collected but not verified

Faculty submits availability, but it was collected via email and transcribed into the spreadsheet incorrectly. The schedule is built on wrong data. The conflict isn't discovered until the faculty member sees their calendar invite and realizes they have a standing commitment at that time.

Prevention: Collect availability through a structured form, not free text. The submitted data feeds the schedule directly: no transcription step, no transcription errors.

Double-bookings not caught during review

Two candidates are scheduled with the same faculty member at the same time. In a large spreadsheet, this is easy to miss visually. It's discovered when both candidates show up at the same room at the same time.

Wrong room assignments in calendar invites

A calendar invite was sent with the wrong room number, either because it was transcribed incorrectly or because the room assignment changed after the invite was sent. Faculty and candidates arrive at different locations and wait for each other.

Running behind on time

A candidate's flight is delayed. They arrive two hours late. All their morning interviews are empty slots, and the coordinator has to decide on the fly whether to reschedule, skip, or ask faculty to extend their day.

Prevention: Build contingency instructions into the coordinator's day-of guide. Know in advance what the policy is for late arrivals and have a process for notifying affected faculty quickly.
